StartUP '23 is a carnival-style event that welcomes participants from UTM and external communities. The primary objective of the event is to allow UTM students to set up booths and raise funds for future PERSAKA programs and support students in need within the Faculty of Computing. The event features various types of booths, including those selling consumer products (food and beverages), entertainment (games and arts), and shopping booths (clothing, souvenirs, etc.). Additionally, the event incorporates health-related activities to provide a diverse range of entertainment options for UTM students and staff.

Position/Role

As the Vice Treasurer of StartUP '23, I had specific responsibilities related to financial management and oversight. These included:

  1. Budgeting and Financial Planning: I worked closely with the Treasurer and the organizing committee to develop a comprehensive budget for the event. This involved estimating expenses, projecting revenue from booth rentals and activities, and ensuring financial feasibility.

  2. Fundraising Management: I was responsible for coordinating the collection and management of funds raised during the event. This included establishing secure systems for financial transactions, tracking revenue from booth rentals and activities, and ensuring accurate record-keeping.

  3. Financial Reporting: I prepared financial reports and updates for the organizing committee, providing them with a clear overview of the event's financial status. These reports facilitated informed decision-making and allowed for adjustments to be made as needed.

  4. Budget Monitoring: Throughout the event, I monitored expenses and revenue closely, ensuring that the event stayed within the allocated budget. This involved regular communication with booth participants, addressing any financial queries or issues that arose, and overseeing the financial aspects of the event in real-time.

StartUp Reflection

Participating in StartUP '23 as the Vice Treasurer was an invaluable experience that allowed me to develop and enhance several important skills and attributes. Here are my key reflections from this role:

  1. Financial Management: As the Vice Treasurer, I gained firsthand experience in budgeting, financial planning, and tracking revenue and expenses. This opportunity helped me develop a strong understanding of financial management principles and practices. I learned to prioritize expenditures, anticipate financial needs, and make informed decisions to ensure financial sustainability.

  2. Attention to Detail and Accuracy: Managing the financial aspects of the event required meticulous attention to detail and accuracy. I had to ensure that financial records were maintained accurately and that all financial transactions were properly documented. This experience enhanced my ability to work with precision and maintain a high level of accuracy in financial matters.

I collaborated closely with the Treasurer, organizing committee, booth participants, and other stakeholders. I developed excellent interpersonal and communication skills, learning to convey financial information clearly and concisely and foster effective collaboration within the team.

  4. Problem-Solving and Adaptability: Throughout the event, unexpected challenges or financial discrepancies may have arisen. As the Vice Treasurer, I had to employ problem-solving skills and adapt to changing circumstances swiftly.
