Position or Role in the Activities
In this program, I was chosen to be a secretary to help to give administrative support to the director of the program. My duties as secretary are listed as below:
- Assuring the meetings with committees are well-organized and minuted
- Keeping a record of the work progress for the program
- Preparing and writing up a formal letter
- Filing and assembling reports and other documentation in a timely and credible manner
Mini Report
Back to School Program was organized by Psychology Interactive Club (PSYCHIC), UTM by using an online platform which is Cisco Webex Meetings. It was held on 17 November 2020. I became the secretary of the program and has to handle all of the documentation processes to make sure the program can be held successfully.
Back to School is a program that aims to expose psychology graduates about their journeys and encounters during their studies, as well as provide students with information about their future paths. The main graduate attributes that are focused on are leadership and teamwork skills where we were able to interact and work efficiently with each other as a committee. Also, it taught us to understand the task towards group decision. Furthermore, this program emphasized our communication skills which is an important aspect of our daily life. As a secretary, excellent communication skills mean that I can write documentation clearly and comprehensible. Communication skills help us to deliver ideas orally in an effective way. Lastly, global citizen attributes. As we know knowledge about future career paths is important to students so these skills are focused on ensuring that we are updated with current issues. This program provided us the ability to act professionally while carrying our tasks.
Back to School program is hosted as a talk session for alumni to serve as a forum for students to gain new perspectives on the workplace. It provided an opportunity for us to collect valuable information from alumni about various career paths. Not just that, it helps encouraging students to ask questions about entering the professional world.
Self-Reflection
From what I have learned throughout this program, I have become more reliable and comfortable working in a group as it improves my teamwork skills. Working in groups as part of the program helps you to handle various personalities, settle the conflict, and compromise. Through the process of communicating with each other, I was able to understand better. Also, it is beneficial for me to try taking new roles such as being the secretary. Learning to be a secretary provides me with several chances to become more organized.
Another unforgettable thing that happened during the live event is when the speaker faced a problem where he was having difficulties using the Webex Cisco Meetings. From my observation, we should have to act fast to solve the problem so that the audience will not have to wait longer. I also learned that we should gain mutual agreement on what platform should be used for both parties so that the event will run smoothly. After all, the feedback from the participants after the program is done can give us ways to improve certain aspects. Learning to be open and receptive to comments is a crucial skill that will help you to make necessary improvements as well as learn to get any necessary feedback.
