What is Dashboard?

Importance of Dashboard

  • To quickly gain insights into the most important aspects of the data
  • Highlights problems or issues that need further attention
  • Allows to consolidate information from across organization.

P1022 is the number for the project which is Puteri K5 Infill Development Project. The dashboard cut off date is 3/8/2020 and in week 12 can be seen at the right top. Some of the important things in the dashboard are Project Data, Project Progress Plan vs Actual where we can see overall progress of the project is better than the planned or not, and overall progress in terms of table which is more details for each department based on current week and last week performance. In addition, in the table form, there are some highlight (red color) that we can see in which may needs further attention.

The speedometer of Current Project Progress shows updated status of the project. From that we can easily know the project is better than the plan or not. Same with Man hour & Cost (Expended vs Budget), where it shows current budget used so that we can estimate how much the budget need to be used.

Project Progress vs Utilised Manhours percentage is to show the varience of both elements. We can compare how much percent man hours used for that particular percentage of project progress. If percent man hours is less than percent project progress, then it is in a good status. The Document Summary shows percentage submission of every document status which are:

  1. Start - the task start
  2. IDC - Interdisciplinary check 
  3. IFR - Issued for Review 
  4. AFC - Approved for Construction 

and the table to show exact total numbers of each document. Last but not least, Man hour Histogram at the bottom is to show overall number of man hour for plan and actual project and by discipline (right) where I inserted drop-down list to choose the department.

All the data included in the dashboard was the data I had simplified were come from Master Deliverables Register (MDR) given by my Supervisor. In the MDR included:

  • Document type and class, weight, and status
  • Total man hours for each discipline
  • Info on plan and actual delivery dates (Start, IDC, AFC, IFR)

and others.

Internship Experience

I had done my Industrial Training for 12 weeks starting from 20th July 2020 until 9th October 2020. My internship company is DAR Energy SDN BHD in Kuala Lumpur. It is a consultant engineering company mainly in Oil and Gas Industry. It is such a quite known consultant company and their main client is PETRONAS. Since it is a consultant engineering company, the job scope is more to office works. However, the interns still got the knowledge and exposure regarding what are engineers doing.

There are 15 UTM's interns in this company and most of us were working from home since this pandemic (COVID-19) is not end yet. I was assigned in Project Management department focusing on project dashboard together with another intern, Ahmad Faris. My supervisor is Captain Sarudin Awang. I feel very glad when he was my supervisor because he is very supportive and he always shared his experience in which indirectly gave me an exposure on consultant works.

My main task objective was to create a project dashboard using third party application. Basically dashboard is to display a key performance indicator in an organized way. From hundreds data, simplified it by using excel to display status of the project and will be presented to a higher management. At first, it was quite challenging for me because I dont have much knowledge on Excel formula and functions. I was having a hard time when I did my first task which is extract manhour data from MDR and sorted it by week. The manhour data is recorded by how many manhour spent for each task by each department and the leader of department will reported it every week. 

There are many other things that I got to know in order to create dashboard. For instance, use pivot table and slicer, drop-down list where there is more than one options in a cell, and many other things. As time goes by, I learned a lot in excel formula and functions in which I think, really helpful in my future.

From almost 500 rows data, I had simplified the data based on dashboard's needs; manhour histogram plan vs actual, project progress, document summary, key project data, etc.

These are my final dashboard that I created.

I used this dashboard as my presentation during Final Review session involved owner of the company, Ir Rozali, and some CPE lecturers. I am very happy as my hardwork to create this kind of dashboard paid off. They praised my dashboard as I included speedometer to show current status of the project and drop-down list in manhour histogram by discipline in which seems interesting and provides at-a-glance views.
