Introduction
The Students’ Union Task Force Universiti Teknologi Malaysia (SUTF UTM) was a student body formed in the early of December 2019 under the Jabatan Timbalan Naib Canselor Hal Ehwal Pelajar (JTNCHEP) with the support of Majlis Perwakilan Pelajar (MPP) which consisted of student leaders and extra-ordinary group of students who shared the same visionary and aspiration of forming our very own UTM Students’ Union (UTMSU), an organization that would be the highest student leadership body that would overseer and administer the student activism, the student welfare and the student development with guided autonomy by the JTNCHEP.
To be duly informed, the initiative of establishing a Students’ Union by UTM students with the support of UTM administration is actually aligned with then Kementerian Pendidikan Malaysia (KPM), under the previous leadership of Minister of Education, Yang Berhormat Dr. Maszlee bin Malik, efforts to promote the idea of Students Empowerment, a concept of bringing students to a higher standard that they are capable to be involved in critical decision making, managing and delegating, and having a frequent orderly fashioned academic intellectual discussions on any student related issues and matters.
In a flight of pursuing the realisation of this dream on establishing Students’ Union in UTM, the SUTF have already planned, drafted and executed a bundle of programs that are essentials to achieve our stately goals. One of the programs is would be the implementation of SUTF VISIT 2020 during our early phase of operation. The SUTF VISIT 2020 was considered as one of the first SUTF programs to be executed and the objectives were straightforward yet are hard to conduct as it involved interactions and careful planning with a lot of parties within a brief period of time of approximately one month of preparation.
In the end, the SUTF VISIT 2020 was a successful program which enable our team to move forward with the newly gathered materials and information by the related parties to form our very own UTMSU and at the same time creating new connections and relationship that will benefit our progress in future time.
SHORT REPORT
The SUTF VISIT 2020 was a 3 days program that being spearheaded by the Delegation & Benchmarking Unit (D&BU), a unit that was created solely for the purpose of delegating and benchmarking important people, organisations and student clubs & associations to advance and encourage the cooperation between SUTF and other parties in establishing UTMSU.
Before we start our activity, I, AIDILFITRI BIN SAWALLUDIN, as the Head of D&BU and the Head of SUTF VISIT 2020, has hosted a meeting with my team members to discuss about the rough flow of our plan for the SUTF VISIT 2020 right after our meeting with Majlis Tertinggi SUTF on December 2019. In our discussion, we have divided the SUTF VISIT 2020 into 3 phases, which are, Preparation Phase, Execution Phase and Aftermath Phase.
In the Preparation Phase, we conducted research and survey among SUTF members in order to get the rough idea which people or organisations that we need to visit and have a face-to-face discussion and we found out most of the members wanted to meet and discuss with representatives from Parlimen Malaysia, Bahagian Mahasiswa Holistik Jabatan Pendidikan Tinggi Kementerian Pendidikan Malaysia (BMH JPT KPM), Majlis Perwakilan Pelajar Multimedia Universiti (MPP MMU) & Kesatuan Mahasiswa Universiti Malaya (KMUM). The further action that we take would be preparing the paperwork for the program’s activity and budget approvals by the JTNCHEP and also contacted the related parties to prepare our meals, accommodation, transportation and venue for our 25 participants.
In the Execution Phase, we hosted the SUTF VISIT 2020 in three days, which are, on 4th, 5th and 6th February 2020. During the whole 3 days program we managed to visit and meet up with representatives from Parlimen Malaysia, BMH JPT KPM, SUTF UTMKL, MPP MMU & KMUM. The result from the visits are we are able to; understand well on how does the Parliament System work by the Parlimen Malaysia representatives, receive a the detailed explanation of the visions and the policies of BMH JPT KPM by Yang Berusaha, Dr. Zaid Omar, the Director of BMH JPT KPM regarding Students Union, produce a fruitful insight and exchanging ideas and potential collaboration about Students’ Union with MPP MMU and KMUM representatives and lastly strengthen the bonding and ushered a good coordination of establishing Students’ Union with SUTF UTMKL.
In the Aftermath Phase, I have instructed my team to conduct an overall survey with our program participants in order to gather the details and information whether or not they are satisfied with program’s execution and at the same time to find some errors that maybe occurred and the improvement that could be made for future events. All of our activities from the start until the end were recorded and jotted down in our Activity Report and then sent to our higher ups for evaluation. Overall, our trip was considered as a major success as it achieved with our main objectives and it even prompt the idea of conducting another SUTF VISIT by our Majlis Tertinggi as the results of our superb and well organised planning and execution of the program.
RESPONDING
As the Head of SUTF VISIT 2020, I actually garnered and polished a lot of skills such as, leadership skill, teamworking skill, communication skill & adaptability.
