Introduction

The Students’ Union Task Force Universiti Teknologi Malaysia (SUTF UTM) was a student body formed in the early of December 2019 under the Jabatan Timbalan Naib Canselor Hal Ehwal Pelajar (JTNCHEP) with the support of Majlis Perwakilan Pelajar (MPP) which consisted of student leaders and extra-ordinary group of students who shared the same visionary and aspiration of forming our very own UTM Students’ Union (UTMSU), an organization that would be the highest student leadership body that would overseer and administer the student activism, the student welfare and the student development with guided autonomy by the JTNCHEP.

To be duly informed, the initiative of establishing a Students’ Union by UTM students with the support of UTM administration is actually aligned with then Kementerian Pendidikan Malaysia (KPM), under the previous leadership of Minister of Education, Yang Berhormat Dr. Maszlee bin Malik, efforts to promote the idea of Students Empowerment, a concept of bringing students to a higher standard that they are capable to be involved in critical decision making, managing and delegating, and having a frequent orderly fashioned academic intellectual discussions on any student related issues and matters.

            In a direction of pursuing the realisation of this dream on establishing Students’ Union in UTM, the SUTF have already planned, drafted and executed a bundle of programs that are essentials to achieve our stately goals. One of the programs is would be the implementation of ROADSHOW SU during our mid phase of operation. The ROADSHOW SU was a program that are designed to advocate the idea and importance of Students’ Union in designated colleges in a smaller scale compared to the previous TOWNHALL MEGA SU event. The objectives were straightforward yet are hard to conduct as it involved interactions and careful planning with a lot of parties within a period of time of approximately two months of preparation.

            In the end, the ROADSHOW SU was a successful program which enable our team to advocate the concept and the importance of forming our very own UTMSU to the majority of UTM students, hence gathering their support for our cause, and at the same time creating new connections and relationship that will benefit our progress in future time.

 

SHORT REPORT
The ROADSHOW SU was one of the SUTF programs that being spearheaded by the Roadshow Unit (RU), a unit that was created solely for the purpose hosting a Roadshow that will advocate the idea and the importance of Students Union on a smaller scale, which eventually will help us in spreading the idea, gathering their supports and actively involved them in the path of establishing UTMSU.

            Before we start our activity, I, AIDILFITRI BIN SAWALLUDIN, as the Head of Delegation & Benchmarking Unit (D&BU) was entrusted by our Majlis Tertinggi to hold a position as the Head of Registration Team A and a Speaker for the event. The reason why we separate the registration team into two team, Team A & Team B is because the Roadshow SU program are being hosted on different dates and venues, thus required the necessity of dividing the team in order to facilitate the availability and the reachability of our team members. The first actions that I have took was hosting an immediate meeting with my team members to discuss about the rough flow of our plan for the ROADSHOW SU right after our meeting with Majlis Tertinggi SUTF on late February 2020. In our discussion, we have divided the ROADSHOW SU into 3 phases, which are, Preparation Phase, Execution Phase and Aftermath Phase.

In the Preparation Phase, we discussed, listed out and divided the tasks that we are responsible for this event which are securing the Merit UTM from UTM administration and Merit Pengetua from each college in UTMJB and UTMKL that will be given to those who attended our event, finding enough secretariats and laptops from our main collaboration partners, each of the JKM UTMJB in order to accommodate the registration of a participating students and lastly planning, supervising and coordinating the registration process of the event.. Our preparation part faced a lot of challenges as it depends on the cooperation with a lot of people but our team managed to solve the problems before our event start.

In the Execution Phase, we hosted the ROADSHOW SU at 6th – 16th March 2020. For Registration Team A, we are in charge of handling the registration process for the ROADSHOW SU at Kolej Tuanku Canselor (KTC), Kolej Rahman Putra (KRP), Kolej Tun Dr. Ismail (KTDI) and Kolej Tun Fatimah (KTF). Every time before the event start, I have asked the Registration Team and its secretariats for a briefing in order to make sure that everyone understood their role and the overall flow of the registration process and also divided and urged them to set up the registration booths in their designated area. During our registration process, I supervised and coordinated my team and secretariats to make sure that the flow of the process is smooth and we did face small problems such as technicality issue of the sudden laptop malfunction and the queueing line is long and overcrowded but these problems are dealt with a quick delegation of jobs and preparing a backup equipment as planned. In extra note, for our event in KTF, I was tasked by my Majlis Tertinggi to become the Speaker of the day which I elaborated, explained and promoted the key details about Students' Union to my fellow colleagues there.

In the Aftermath Phase, I have instructed my team to conduct an internal survey with the whole SUTF members and its secretariats in order to gather the details and information whether or not they are satisfied with registration process and at the same time to find some errors that maybe occurred and suggest some improvements that could be made for future events. All of our registration activities from the start until the end were recorded and jotted down in our Activity Report and then sent to the TU for evaluation. Overall, our main event, the ROADSHOW SU was considered as a major success as it achieved with our main objectives of advocating the idea and the importance of Students Union to UTM students, which eventually will help us in spreading the idea, gathering their supports and actively involved them in the path of establishing UTMSU.

 

RESPONDING

As the Head of Registration Team A, I actually garnered and polished a lot of skills such as, leadership skill, teamworking skill, communication skill & adaptability.
